Description

The contractor shall provide comprehensive meeting and conference support services to enable execution of the VA OIG Cohort A, B, and C Meeting for period of April 26, 2026 - May 1, 2026. Required supplies and services include: • Meeting and Breakout Spaces Provision of fully equipped general session and breakout rooms to support approximately 200 participants, including three breakout rooms for 70 attendees each, five division breakout rooms for 25 attendees each, and one quiet room. • Audio/Visual (A/V) Support Delivery, setup, and operation of A/V systems including podiums, lavalier microphones, handheld microphones, projection screens, and virtual‑participation capability. Continuous technical support is required throughout all meeting sessions. • Internet Connectivity Reliable, high‑bandwidth wireless internet access in all meeting and breakout rooms suitable for presentations and hybrid engagement. • Refreshments (Light) Light refreshments for participants in accordance with OIG meeting standards. • Setup and Teardown Complete room setup, furniture arrangement, A/V installation, reconfiguration between sessions, and post‑event teardown for all contracted spaces.
